Job Description

Adams & Martin Group has partnered with a notable law firm in Costa Mesa seeking an experienced Litigation Legal Assistant to provide support to the firm's Managing Partner and three litigation attorneys. While the majority of litigation support will be provided to the three attorneys, the Managing Partner will require high-level administrative and executive support.

The ideal candidate is proactive, detail-oriented, exceptionally organized, and able to manage multiple priorities without missing deadlines. This individual must be a self-starter who takes ownership of assignments, anticipates needs, and enjoys working in a collaborative, technology-driven environment.

Key Responsibilities

Litigation Support

  • Prepare, revise, proofread, and format legal documents, including pleadings, motions, discovery, correspondence, and court filings.
  • Manage all aspects of state and federal court e-filing.
  • Maintain and monitor litigation calendars, including court deadlines, hearings, depositions, mediations, and trial dates.
  • Calculate and track litigation deadlines in accordance with applicable court rules.
  • Coordinate service of process and filing of legal documents.
  • Organize and maintain electronic and physical case files.
  • Prepare hearing, deposition, mediation, and trial materials.
  • Assist with discovery management, document production, and case administration.
  • Coordinate scheduling with clients, opposing counsel, experts, and court personnel.

Administrative Support

  • Provide executive-level administrative support to the Managing Partner.
  • Manage calendars, scheduling, travel arrangements, and meeting coordination as needed.
  • Assist with firm operations and special projects.
  • Handle confidential information with the utmost discretion and professionalism.

Technology & Systems

  • Maintain accurate records and workflows within Clio.
  • Assist attorneys with document management and matter administration.
  • Leverage technology, automation, and AI tools to improve efficiency and workflow management.
  • Identify opportunities to streamline processes and improve organizational effectiveness.

Qualifications

Required Experience

  • 5+ years of litigation legal assistant experience, preferably in a civil litigation environment.
  • Extensive experience with California state and federal court e-filing systems.
  • Advanced calendaring experience, including litigation deadline calculation.
  • Strong legal document preparation and formatting skills.
  • Advanced proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and Adobe Acrobat.
  • Significant hands-on experience using Clio.
  • Experience supporting multiple attorneys simultaneously.

Preferred Qualifications

  • Experience in a boutique litigation or high-performance law firm environment.
  • Familiarity with legal technology platforms, workflow automation tools, and AI-assisted productivity tools.
  • Experience supporting partners or firm leadership.
